Personal Contacts
(Embedded Voice Mail)

Overview:

Personal Contacts allow users to store alternate numbers where callers can contact them instead of leaving a message. Callers are prompted in the greeting to press a key to have their call transferred to the alternate number—they are never told the number.

Users can program up to ten (10) Personal Contacts, assigning a Personal Contact key (0–9) to each Personal Contact. Users then add information about these personal contact keys in their mailbox greeting.

Personal Contact keys for cellular phone, fax and pager are pre-defined by the system. When the corresponding personal contacts are programmed, the system plays a pre-recorded message after the user's greeting. These pre-recorded messages are available in all supported languages.

External Call Tracking

You can use non-verified account codes to track Personal Contact numbers in local SMDR reports for billing/call management purposes. When the caller presses a Personal Contact key, the system dials the contact number as follows:

Non-verified account code feature access code + account code (mailbox number) + contact number

If the non-verified account code feature access code is not programmed, the system dials only the contact number.

Programming

To enable the Personal Contacts feature:

  1. License and Options Selection form
    Set "Advanced Voice Mail" to "Yes".

  2. Class of Service Options form
    Set the following options for the voice mail Class of Service:

  3. Set "Public Network Access via DPNSS" to "Yes".

  4. Set "Public Network to Public Network Connection Allowed" to "Yes".

  5. Set the "Inter-digit Timer" field to "3" seconds. This prevents the voice mail timer from timing out before the call is completed.

  6. Set the "Account Code Length" field to the same value as the extension digit length.

  1. Program the non-verified account code feature access code.

  2. Reboot the controller. After enabling "Advanced Voice Mail" , Personal contacts will not work until you reboot the controller. The controller must be rebooted in order for the prompts to start working.

  3. Note: If a Feature Access Code for Non-verified Account Codes is assigned, then the non-verified account code option for the Personal Contact List is NO LONGER OPTIONAL. You must enable the non-verified account code option and set the Account Code length as described in the following table:

Personal Contact List WITH Non-verified account codes

Program your Feature Access Code.

Enable the non-verified account code option in the COS of the voice mail port. (Default is Enabled).

Set the Account Code Length in the COS of the voice mail port to match the length of your mailbox numbers.

Personal Contact List WITHOUT Non-verified account codes

Remove any Feature Access Codes for non-verified account codes.

Set the Account Code Length in the COS of the voice mail port to the default of 12 digits.

Operation

All telephones.

To program a Personal Contact:

  1. Access your voice mailbox.

  2. Press [8] for the User Options menu.

  3. Press [2] for the Additional Options menu.

  4. Press [2] for the Personal Contacts menu.

  5.  Select the desired Personal Contact number:

  6. for a Cell phone number, press [2],

  7. for a Fax number, press [3],

  8. for a Pager number, press [7],

  9. for another type of number, select any other number between 0 and 9.

  1. Enter the phone number for the personal contact using the dial pad. To delete the number, press [*]. To skip to the next personal contact, press [#].
    For external numbers, enter the digit that you would normally dial to access an outside line.

  2. Press [*] when you are done.

  3. Update your greeting to include the prompts for the new numbers that you assigned.

The following is a greeting that includes a prompt to contact the mailbox owner by cellular phone:

"You have reached Tom Murphy. I can't answer the phone right now. Please leave your name, number, and a short message—I will get back to you as soon as possible. To try to reach me on my cell phone, press 2. If you would like to speak with an operator, press 0 at any time."
