System greetings are played for outside callers, and are grouped as follows:
Primary greetings
Alternate greetings
Recorded Announcement Device (RAD) greetings
Primary greetings play on all voice mail ports by default.
You can have up to eight alternate greeting sets (Alternate Greeting sets 2 to 9), and assign them to play on different voice mail ports using the VM Greetings Form. This feature provides flexibility by allowing, for example, multiple businesses to share a single 3300 ICP system, or a single business to have specialized greetings for separate toll-free numbers. You can also assign system greetings to multiple voice mail hunt groups.
Note: If the Voice Mail Hospitality/PMS option is enabled, Alternate Greeting set 9 is replaced by the Guest Login greeting.
Each primary and alternate greeting set consists of three separate greetings: an "open" greeting, a "closed" greeting and a temporary greeting.
Open greetings are played when the system is in Day Service, as programmed in the VM Business Hours Settings form.
Closed greetings are played when the system is in Night1 or Night2 service, as programmed in the VM Business Hours Settings form.
Temporary greeting are typically used for holidays. A temporary greeting overrides the set's open and closed greetings for the number of days you specify.
RAD greetings provide the ability to play recorded greetings through a voice mail port (RAD port), providing Music on Hold or other audio. For more information, see RAD Greetings.
In a bilingual system, the Bilingual Welcome Greeting is the first greeting that the Auto Attendant plays when it answers an outside call. The greeting is in the two languages selected in the VM Prompt Languages form. In the Bilingual Welcome greeting, include instructions for callers to enter the Language Toggle digit if they want to hear prompts in the other language. The Language Toggle digit is defined in VM Prompt Languages form.
In addition, you must have two versions of each greeting, one in each language. For example, if the languages of your system are English and French, for each active greeting set, you must have an English Business Open greeting, a French Business Open greeting, an English Business Closed greeting and a French Business Closed greeting (and English and French temporary greetings when needed).
Note: The Bilingual Welcome Greeting is only available if the Bilingual Voice Prompts Option is enabled in VM Prompt Languages form.
The Guest Login greeting only applies to systems that have the Voice Mail Hospitality/PMS option enabled (see the License and Option Selection form). Guests hear this greeting when they log into the voice mail system.
You can use a downloaded audio file for the greeting, or record it directly from a phone using the Administrator's mailbox.
Note: If you download a system or RAD greeting while someone is recording the same greeting from a phone, the recorded greeting is replaced by the uploaded greeting once all voice mail ports become idle.
You can download audio files to a single controller using the System Audio Files Update form, or to multiple nodes using Enterprise Manager (see your Mitel dealer for information on Enterprise Manager).
The audio file must be in the following format:
WAV, A-law or m-law (G.711), 8 kHz, 8-bit, mono.
When an audio file is downloaded, its audio amplitude is normalized by the controller to ensure uniform sound level and compliance with telecommunications regulations.
Note: When the Voice Mail Hospitality/PMS option is enabled in the License and Option Selection form, you can download the Guest Login Greeting set, but not Alternate Greeting set 9.
