Editing, and Deleting Mailboxes Using the Administrator's Mailbox

To edit a mailbox

  1. Access the Administrator's Mailbox.

  2. Press [2] for the Mailbox menu.

  3. Press [2] for the Edit Mailbox menu.

  4. Enter the mailbox number to edit.

  5. Follow the prompts and enter the changes for each parameter (see VM Mailboxes or User and Device Configuration form for an overview of the parameters).

  6. The system returns you to the Mailbox menu after you have gone through all the parameters.

To delete a mailbox

  1. Access the Administrator's Mailbox.

  2. Press [2] for the Mailbox menu.

  3. Press [3] for the Delete Mailbox menu.

  4. Enter the mailbox number to delete.

  5. Press [#] when done.

To add a Multi-level Auto-Attendant (Menu Tree) mailbox:

  1. Access the Administrator's Mailbox.

  2. Add a mailbox for each sub-level menu.

For example, if your greeting is:

"Thank you for calling ABC Company. If you know the extension of the person you are calling, enter it now. For sales, press 1, for customer support, press 2, for assistance press 0, or stay on the line."

Create two mailboxes, one for sales, and one for customer support.

  1. Edit the mailbox and set the mailbox type to Menu Tree.

  2. Log into each Menu Tree mailbox, using the mailbox's number and passcode.

  3. Record a greeting with the required prompts.
    For example:  "For sales, press 1. For service, press 2. For all  other departments,  press 3. To return to the previous menu, press star. To repeat the choices, press pound."

  4. Assign the next level mailboxes to the digits specified in the greeting.
    Continuing with the example above, assign digit 1 to the sales department mailbox, and digit 3 to the service department mailbox.

  5. From any extension in the system, log into each Menu Node mailbox, using the mailbox's number and passcode.

  6. Record a greeting with the required prompts.
    Note:
    For each sub menu greeting, include a prompt to press * to return to the previous menu or # to repeat the choices.

  7. After all the menus have been set up, test the prompts to ensure that the call flow is valid.
