The User and Device Configuration form displays a list of the users and devices that are currently programmed in the 3300 ICP system. The User and Device Configuration form also lists all Hot Desk users and Hot Desk ACD agents.
Use the User and Device Configuration form to
Search for a user based on specific criteria (for example, search for entries with a specific Directory Number or name).
Quickly add, copy, change or delete user and device data, using a single form.
Easily add a large number of new users or devices by importing user and device configuration information from a spreadsheet to your 3300 ICP database.
The User and Device Configuration form combines the functions of several system forms into a single form; however, you can still access and use the individual forms. For example, to create user profiles, you can choose to use either the User Authorization Profiles form or the User and Device Configuration form.
The advantage of using the User and Device Configuration form is that it allows you to modify a wide range of user data (such as Telephone Directory, Department, or Personal Speedcall assignments) without having to make modifications in many separate forms.
Use this form when performing the following tasks:
The User and Device Configuration form does not display entries for consoles, Hunt Groups, remote directory numbers, and telephone directory-only entries.
When a Hot Desk User or External Hot Desk User is logged in, you cannot:
change or delete the user's DN
change the device type field associated with the Hot Desk device
enable ACD
enable External Hot Desking
delete the External Hot Desk User dialing prefix or external number

Note: Incomplete records may sometimes appear in the User and Device Configuration form. These records have a First Name and Last Name, but no other data. They originate from user records that were incorrectly removed from OPS Manager or the System Administration Tool in an earlier release. To correct the problem, either delete the records or enter the missing data.
Using the User and Device Configuration form, you can perform five actions: Import, Add, Copy, Change, and Delete.
Import: Click the Import button to import user and device data from an existing .csv spreadsheet. See About Importing User and Device Data for more information.
Add: Click Add to add a new record, and then select one of the following Service Types:
User and Device: Adds a standard user and device.
Hot Desking User: Adds a hot desking user. The user can be transformed into a Hot Desk ACD agent by selecting the ACD_Enabled option.
IP Device Only: Adds a device that can be used for the following purposes: basic functionality (emergency and attendant calls); Hot Desk login; Hot Desk ACD Agent login.
Copy: Click Copy to copy the data from an existing record, then use that data to create a new record. When you select Copy, the User and Device Configuration dialog appears in tabular format with the Personal Information, Voice Mailbox Name, and Desktop Login Name details cleared.
Change: Click Change to modify an existing record. Make the desired changes in the User and Device Configuration dialog that appears.
Delete: Click Delete to remove an existing record.
If there are multiple users associated with a device and you delete one of the users, then the delete will result in a delete of just the user. The device and other users will be left intact.
If there is just one user for a device, then a delete will remove both the user and the device.
If the device is not associated with a user, the delete will just remove the device.
When you select the Add, Copy, or Change button, a detailed User and Device Configuration dialogs appears in tabular format.
Notes:
The Add operation always creates an new user, even if a user already exists with the same name. However, name and number combination must be unique.
If the Service Type is "IP Device Only," the set must support Hot Desk login and cannot be any of the following: 5560 IPT, 6600 Your Assistant PRO, or CITELlink.

Mailbox Type |
Select a mailbox type: Extension - the mailbox type usually associated with an extension; it has the capability to record, send, and playback messages. Information - for playing informational greetings only. For example, the message (or greeting) for this mailbox could recite the company's business hours or driving directions to a company's location. This type of mailbox does not take messages. Message Only - for recording and playing back messages. It may be, but does not have to be, associated with an extension number. Message only mailboxes are for people who do not have telephones or who are frequently away from the office. Transfer Only - for playing instructions to callers to dial another number or to dial 0 to reach the company operator. This type of mailbox does not take messages. Menu Node - to set up a hierarchical menu structure for multi-level auto attendant (MLAA) operation. In an MLAA system, callers reaching the Auto Attendant are routed from the main menu through to one or more additional sub menus until their call is answered. The system plays greetings for this type of mailbox and transfers callers from the mailbox to other mailboxes or extensions. Administrator - for accessing administrative functions such as recording greetings. Guest - for guests in hotels/motels with basic voice mail functionality. Front desk - for front desk staff in hotels/motels to administer guest mailboxes. This parameter can also be changed using the Administrator's Mailbox. Park and Page - used by the Auto Attendant to park incoming calls, and then page the requested party to pick up the call. Parking is initiated by the caller responding with a keypress to a prompt in the Auto Attendant greeting. The digit pressed is the number of the Park and Page mailbox as programmed in the VM Multi-Level Auto Attendants form.

Prompt Language |
Select a language for the voice mail prompts that the user of the mailbox hears. This parameter can also be changed using the Administrator's Mailbox. |

Enter a location to which calls are to be directed when a caller presses"0" while listening to a greeting and recording prompt for this mailbox. A location can be any valid destination from 1 to 20 digits including extensions, external telephone numbers, hunt group access codes and system abbreviated speed dialing numbers. The default sends calls to Mailbox 0, the mailbox usually reserved for the company-wide operator. Specifying a destination other than the company-wide operator is useful in multi-tenant applications where one system services two or more businesses. With flexible Dial "0" destinations, each business can redirect calls to separate locations. This feature also accommodates users who want callers to transfer to a departmental secretary, rather than a company-wide operator. |
